This full-time Administrative Assistant, as part of the Administrative Team, supports reception and Communication activities as well as other ministries of NPCC.
Administrative Responsibilities (40hrs/week):
1. Reception
- Receive phone calls and welcome walk-ins
- Backup managing incoming and outgoing mail when the main receptionist is away
- Backup managing General Mailbox voicemails, [email protected] emails, and Connect Cards when the main receptionist is away
- Backup managing Connect Cards (except Prayer request ones) when main receptionist is away
- Maintain copier room organized and supplied
- Maintain the Commons (staff kitchen) organized, including the fridge
- Assist in maintaining the coffee/tea area clean, organized and supplied, including the mini-fridge
2. Communications
- Generate weekly sermon clips for both Fanshawe and Stratford sites
- Draft and schedule weekly E-News for both Fanshawe and Stratford
- Assist in creating content for and scheduling social media posts
- Assist in taking regular photos of ministries and events
- Ensure social media comments and questions are addressed in a timely manner
- Ensure communication channels (website, social media, weekend announcements) are current and refreshed regularly
- Participates in weekly Communications meetings and updates Asana calendar
- Assist in printing Communications material, such as booklets and magazines
3. Baptisms
- Setup baptism class events in Planning Center
- Scan applications and file them on the server
- Communicate with baptism candidates to coordinate flow on baptism day and testimony recording
- Ensure baptism class materials/curriculum is current and available for classes
- Ensure gifts are bought and wrapped for baptism candidates
- Coordinate cake team for baptism celebration after services
- Order cake and manage pickup and storage
- Print baptism certificates
4. Adult Discipleship and Small Groups
- Setup/archive events in Planning Center
- Ensure materials are ready for electives, including Men’s and Women’s Bible studies
- Update Knowing North Park booklet as requested
- Track Knowing North Park attendance
- Create graphics for events as needed
- Coordinate room booking
5. Support other ministries as requested
- Setup/archive events in Planning Center
- Create graphics for events
- Make name tags
- Schedule volunteer teams
- Create and update tracking spreadsheets
- Print material
Expectations:- Great time management skills and the ability to prioritize work
- Excellent written and verbal communication skills and attention to detail
- Strong organizational skills with the ability to multi-task
- Proficiency in Microsoft Office (Excel, PowerPoint, Word), Google Suite, and the ability to learn other software to effectively perform your tasks (including Planning Center, Mailchimp, PandaDoc, Asana).
- Understanding of various social media platforms and the specifications needed for posting across platforms.
- Discerning eye for visuals, meaning: strong appreciation for design aesthetics and a keen attention to detail
- Familiarity with Adobe Creative Cloud programs, such as Photoshop and InDesign, is an asset, or willingness to learn and grow in this area.”
- Proficiency in Canva is an asset
- You will be expected to ensure that our Statement of Faith is supported by your role here
- You will be available for regular office hours Monday to Friday from 8:30am to 4:30pm
- You will coordinate the use of your time closely with the Office Manager
- You will be expected to adhere to the standards of professionalism and conduct outlined in our Team Handbook
