Job description

The Project Management Sr. Associate will identify, plan and actively manage Capital Improvement and customization projects ensuring that they are completed successfully, within approved scope, timeline and budget. The PM will be responsible for managing the assigned existing and upcoming projects. This involves monitoring project plans, schedules, budgets, expenditures, site safety, vendor management, organizing and participating in stakeholder meetings.

The position requires an aptitude for positive and clear communication and the ability to mitigate risks and manage multiple projects with financial acumen and great delivery skills. This role is key to ensuring the WeWork estate is on-brand, safe and operating

with member experience at the forefront.

Responsibilities

• Manage and support capital improvements/customization budget planning, execution and close out;
• Interface with client to clarify requirements and develop an optimized project;
• Receive customization requests and assign supporting areas, giving the requester full visibility of the ongoing process;
• Support the project manager and develop internal projects, defined and prioritized according to the team's pipeline;
• Deliver projects on time, on budget, of high quality and in line with local safety and compliance requirements.

Project Initiation and Planning:

• Identify and communicate with stakeholders to define Project requirements, assess feasibility and secure Executive or Member Approval following agreed policy and processes;
• Develop the full scope of works in line with the business case, delivery timescales and budget;
• Work with consultants, designers and/or sub contractors to define and document scope(s) of work(s);
• Analyse all subcontractor quotes and identify, reduce and manage all commercial risks associated with the projects you are leading.

Project Execution:

• Start project only after Executive/Client approval, making sure the budget is signed and all terms are as agreed;
• Activities include but are not limited to estimating, project development, quantity surveying, subcontractor management, procurement and site manager duties;
• Work closely with relevant stakeholders to ensure effective and efficient

implementation of the project(s) in accordance to all local Health and Safety regulations and local code requirements;

• Deliver projects in line with brand standards and in a manner that has minimal impact on member experience;

Project Monitoring and Controlling:

• Provide timely cost controlling reports in the agreed upon format;
• Provide timely progress reports in the agreed upon format;
• Proactively flag health and safety or compliance risks;
• Identify possible impacts on the opening date and develop action plans to mitigate delays.

Project Close-out:

• Ensure complete procurement, technical and financial close-out of projects;
• Ensure all projects are delivered free of defects and within expected quality standards;
• Ensure documentation is complete, current, appropriately stored and handed over to relevant stakeholders.
