Main responsibilities
Administration:
- Financial management: invoicing, follow-up of payments, banking formalities, relationship with the administrative office, etc.
- Administrative management: database, services and supplies (telephony, electricity, materials, etc.), documentation (physical and virtual archives), travel, telephone and e-mail, telephone and mail management and corporate agendas.
- Organization and management of resources (physical and virtual): office, rooms and meetings, IT, tools, etc.
Business development:
- Design and coordination of the implementation of internal protocols and policies.
- Support to selection, induction and human resources management processes.
- Coordination with the marketing department, supporting the implementation of the company's the company's communication strategy in the updating and elaboration of content for the Portuguese content for the website in Portuguese and in all mkt actions, fairs, events, RRSS, etc... in Brazil.
Office:
- Support in the search for the new office.
- Management of the office rental contract.
- Management of the refurbishment and adaptation of the new office, if necessary.
- Procurement of furniture and equipment for the office, if necessary.
- Support the standardization of the office using Diverxia's visual branding.
- Manage the maintenance of the office.
Accounting / Financial:
- Management and control of payments (office rent, cell phone, food vouchers and service providers);
- Management of the tax domiciles of the SPEs;
- Support in budgeting office costs.
- Support in relations with Brazilian banks.
- Support in sending tax documentation to the accounting department.
Legal:
- Support in the organization of documentation for the opening and management of SPEs.
- Support in the control of powers of attorney and documentation in Brazil.
- Support in the organization of contracts with service providers.
HR
- Management of health insurance (inclusion and assistance);
- Management of food vouchers.
- Support with recruitment documentation.
Travel:
- Booking and purchasing tickets, hotels and rental cars for travel.
- Support in travel budget control.
Requirements
- We are looking for a person with proven experience of at least 3 years in:
- Organization and administration in commercial and labor processes.
- Accounting management
- Internal customer service (internal team) and external (customers and suppliers).
- Advanced Excel level
- Native in Portuguese
- English (minimum B2).
- A second language (Spanish) would be an advantage
